Referrals and Clinical Coordination

Information for Immigration Attorneys

Practical referral information for attorneys requesting clinical mental health documentation.

Making a Referral

Begin with the Evaluation Type

Immigration attorneys can contact Heart'N Mind Counseling to ask about a clinical mental health evaluation for a client. Identify the requested evaluation type and the person whose mental health should be assessed. Keep the first inquiry focused on referral arrangements. Detailed clinical history should not be included in ordinary email, even when it explains why the evaluation is being requested.

Available Evaluation Types

Requests the Practice Can Discuss

The practice conducts evaluations for the immigration matters listed below. Your referral should identify the requested type rather than asking the clinician to select a legal category. If the focus concerns a family member, clarify that when discussing the appointment. Questions about what is clinically relevant can be raised without sending sensitive client history in the initial message.

  • VAWA
  • Asylum
  • Extreme hardship
  • U visa
  • T visa
  • Cancellation of removal

Evaluations

Our Clinical Immigration Evaluations

Our immigration evaluations are conducted by a California Licensed Marriage and Family Therapist with experience in trauma, anxiety, depression, and relationship issues. Evaluations are available in English or Spanish, so you can discuss these personal experiences in either language.

Meet our team

Language and Meeting Format

English or Spanish in California

Your therapist evaluates in English or Spanish. Clients can attend at our only office, 191 Sand Creek Road, Suite 230, Brentwood, CA 94513, or meet by video while physically located in California. Discuss the client's language preference and format questions when arranging the referral. For video, consider whether the client has an appropriate private place to speak about sensitive experiences.

Planning the Appointment

Ask About Scheduling and Fees

Most clinical immigration evaluations take 2 to 3 hours. Contact the practice to ask about fees and scheduling rather than relying on a published price or an assumed appointment date. If your matter has timing considerations, ask about them before arrangements are made. This page does not provide a completion schedule, and an inquiry does not confirm availability for a requested time.

Client Preparation

Direct Clients to the Preparation Page

Our preparation page explains photo identification, attorney contact information, and requested documents. Share that page with the person attending and clarify the clinical focus you are requesting. Before sending records, ask the practice how sensitive materials should be handled. Clients can also bring questions about what is documented and how information is shared, instead of making assumptions about the assessment process.

Separate Professional Responsibilities

Clinical Assessment without Legal Advice

We do not provide legal representation or legal advice. Your immigration attorney determines legal eligibility. The practice addresses mental health effects in the circumstances identified for assessment. Counsel remains responsible for the legal request and eligibility decisions. Discuss questions about the clinical scope without expecting the evaluator to develop legal arguments or choose which immigration category applies to the client or the family member being evaluated.

Referral Contact

Use Phone or a General Email Inquiry

Call (925) 331-0457 or email info@heartnmindcounseling.com to discuss a referral. Share the evaluation type, the preferred language, and general appointment questions. Do not place symptoms, sensitive narratives, or clinical records in the email. Ask how the client should contact the practice and what arrangements need confirmation before they gather materials or make plans to attend an evaluation with your therapist.
